How to convert a bank statement PDF to Excel

Bank statements arrive as PDFs, but budgeting, accounting and loan checks work better in a spreadsheet. Copying and pasting a statement usually breaks the columns. A converter that keeps the table layout saves a lot of tidy-up time.

A bank statement is some of your most private data. PDF to Excel runs in your browser, so the statement is processed on your device and is not sent to PixnPDF.

PDF to Excel

Choose the right kind of statement file

There are two kinds of PDF. A statement downloaded from online banking normally contains real text, which converts accurately. A statement that was printed and scanned is only a picture of text. PDF to Excel can read scanned pages with local OCR in the language you select, but results from a picture depend on how clear it is.

If you can, download the statement again from your bank's website or app instead of scanning a paper copy. It will convert far more reliably.

Convert it

Open PDF to Excel and add your statement. Choose One sheet to place all selected pages in a single worksheet, which is easiest for sorting and totalling, or Multiple sheets for a worksheet per page. Columns follow each page's table layout, so debit, credit and balance should stay in their own columns.

If the statement is scanned, choose the language of the printed text so OCR reads the right characters. Statements with both English and Arabic need the matching languages selected.

Check the numbers before you rely on them

Never trust a converted statement without checking it. Compare the opening balance, the closing balance and a few transactions with the original. Add the debit and credit columns and confirm that opening balance plus credits minus debits equals the closing balance. If it does not, find the row that is wrong.

Look for the usual faults: a minus sign lost, a comma read as a dot, a number split across two cells, or a wrapped description that spilled into the next row. Fix them in Excel while the PDF is open beside it.

Common problems and how to fix them

If columns look shifted, convert again with One sheet instead of Multiple sheets, or the other way round, and compare. If a scanned page produced strange characters, check that the OCR language matches the printed text and that the scan is straight and sharp. If a long description wraps onto two lines and creates an extra row, merge the two cells in Excel and delete the extra row.

For statements covering many months, convert one month at a time and combine the sheets afterwards. Smaller jobs are easier to check and use less memory on your device.

Handle the file responsibly

A spreadsheet of transactions is as sensitive as the PDF. Store it somewhere private and delete copies you no longer need. If you must share it, add a password to the PDF with Protect PDF before sending, and share the password through a different channel.

PDF to Excel handles up to two input files per job, and there is also a page limit per job. For a longer period, convert one statement at a time or merge them first with Merge PDF.

How it works

  1. Download the statement from your bank as a PDF if you can, rather than scanning paper.
  2. Open PDF to Excel, add the file and choose One sheet or Multiple sheets.
  3. For scans, select the language of the printed text.
  4. Convert, open the spreadsheet and compare balances with the original.
  5. Fix any lost signs or split cells, then store the file privately.

Before you export Do not use an unchecked conversion for tax, loan or legal purposes. Reconcile the totals against the original first.

Common questions

Is my bank statement uploaded?

No. PDF to Excel runs in your browser and the statement is not sent to PixnPDF.

Will debit, credit and balance stay in separate columns?

The tool follows each page's table layout so columns stay aligned, but you must still review the amounts, especially for scans.

Can it read a scanned statement?

Yes, with local OCR in the language you choose. Accuracy depends on scan quality, so review recognised text and amounts.

What about a password-protected PDF?

Unlock it first with Unlock PDF using the password you were given, then convert.
