How to convert a PDF to Word without losing the formatting

Converting a PDF to Word often goes wrong in one of two ways: the layout falls apart, or the layout looks right but you cannot edit anything. The reason is that a PDF stores positioned text and pictures, not paragraphs and styles, so a converter has to choose between keeping the look and making the text editable.

PDF to Word gives you that choice openly. It runs in your browser, so the document stays on your device and is not uploaded to PixnPDF.

Decide what you need the Word file for

Ask yourself one question: do you need to change the words, or do you need a Word file that looks exactly like the PDF? If you only need to send a .docx because someone asked for one, keeping the appearance is the safer option. If you need to rewrite paragraphs, update a date or fix a typo, you need editable text.

Many people only need to change a few words. For that, editing the PDF directly with Edit PDF can be quicker than converting and repairing the layout in Word.

Option 1: Preserve appearance

Preserve appearance keeps logos, signatures, backgrounds and the page design as pictures inside Word. The result looks like the original page, but the text in it is not editable, because it is part of the picture.

Use this for certificates, letters with letterheads, stamped documents and anything where the exact look matters more than editing.

Option 2: Editable text

Editable text turns the content into real Word text that you can change. Text can reflow, and some artwork or exact fonts may be left out, because Word lays out paragraphs differently from a PDF. Expect to check headings, tables and spacing afterwards.

For scanned PDFs, editable text uses local OCR to read the words from the page images. Choose the right language, and review names and numbers, because OCR can misread unclear print.

Tips for a cleaner result

Start from the best source you have. A PDF exported from Word or another program converts far better than a photo or scan of a printout. If you only have a scan, straighten and crop it first with Scan to PDF for clearer recognition.

Convert only the pages you need. Shorter documents are quicker to check, and you can merge the Word sections later if you need to.

Common problems after converting

Tables are the most frequent issue. If columns shift in editable text, try converting the table pages on their own, or use PDF to Excel when the table is the part you actually need. Numbers in a spreadsheet are easier to check and copy than numbers in a reflowed Word table.

Fonts can change because Word only shows fonts installed on your computer. If a heading looks different, select it and pick a similar font. Page breaks can also move, so scroll through the whole document and fix any heading left alone at the bottom of a page.

If the document has headers, footers or page numbers, check them last. They are often converted as ordinary text near the top or bottom of each page, which you may prefer to delete and add again with Word's own header and footer tools.

Privacy for work documents

Contracts, CVs and internal reports often contain information that should not leave your company. Because PDF to Word runs in your browser, there is no copy of the document on a conversion server. You can confirm this on the Prove it's private page, which shows the network activity of a real browser task.

How it works

  1. Decide whether you need an exact look or editable wording.
  2. Open PDF to Word and add the PDF.
  3. Choose Preserve appearance or Editable text; for scans, pick the language.
  4. Convert and download the Word file.
  5. Open it in Word and check headings, tables, names and numbers.

Before you export No converter rebuilds every PDF perfectly as editable Word text. For legal or official documents, compare the Word file with the PDF line by line before relying on it.
